Flexible Invoicing Methods

How you get your invoice to VTM can have a big impact on how quickly it is processed, visible in TRANSWARE™, and ultimately paid. 85% of the invoices VTM receives are sent via either an Application Programming Interface (API) or Electronic Data Interchange (EDI) transaction set. EDI or API are usually the best methods for timely payment, but our experience has shown us these are not one-size-fits-all solutions. That is why VTM is pleased to offer several options for your convenience:

Application Programming Interface (API)

VTM has a long history of being an early adopter of the latest technology for our clients – VTM extends that mindset to our client’s carriers as well. Not all carriers have adopted the use of APIs for invoicing yet, but VTM is pleased to offer plug-and-play APIs for our carrier partners to use for real-time transmission of invoice data and supporting document links. We can also support using a carrier’s API to retrieve invoice data, and initiate requests for additional information from various systems.

For many carriers with establishing an API connection with VTM is typically easier and faster than a new EDI setup from scratch. To get started, connect with our Carrier Support team to get more information on the available options.

Electronic Data Interchange (EDI)

EDI is the best option in most scenarios. VTM is pleased to support all of the major EDI transaction sets, including the following:

  • EDI 110 – Air Freight Details & Invoice

  • EDI 210 – Motor Carrier Freight Details & Invoice

  • EDI 310 – Freight Receipt & Invoice (Ocean)

EDI 997s (Functional Acknowledgements) are also available for all of the above transaction sets.

Email (PDF Attachment)

If you do not have EDI invoicing capabilities, or EDI does not work for a particular scenario, VTM may ask you to send your invoices as PDFs to one of our email boxes. PDF invoices are sent to a specific @vtm.com email address and received by our data entry team for processing. When using this method, invoices are usually visible in TRANSWARE™ within 3 days of receipt.

When you email invoices to VTM, a few rules apply – only PDFs are supported, each PDF must be for only 1 invoice and its supporting documents, and all supporting documents must be in the same PDF as the invoice image.

Paper (Postal Mail)

Mailing your invoices to VTM should only be a last resort, but we can support it when necessary.

Our EDI and PDF/Email options provide such an advantage over paper, it is no surprise we only receive 5% of invoices as paper. Using other methods get your invoice processed faster, and it is the right thing to do for the environment, a win-win!

Proprietary Formats

In some cases, leveraging a carrier’s proprietary format is the best way forward. This method requires a more involved setup process, so your VTM contact will help you determine if this is an appropriate way to receive your invoices. Approval and coordination is required before you can submit invoices in your own format.

Generally, this option requires an expected volume of 3,000+ invoices per month.

Also, you must be able to provide invoices in the format (file naming convention, column order, value formatting, etc) consistently.

Repeated failures will result in a suspension of your ability to send invoices in this format to VTM.
